Understanding customer management

The Customers section of the Admin Panel is where you manage the companies that buy through the storefront.

Customer management covers the company accounts that buy through the storefront and the individual storefront logins associated with those accounts.

Customers and customer users

A customer is a company account that holds contact details, location information, an ERP-linked sync key, and an account status. Customers come from the ERP through automatic synchronization, so you cannot create them manually in the Admin Panel. A customer user is an individual storefront login associated with a customer, and one company can have several customer users with separate credentials. When a customer user signs in, the storefront applies the catalog and pricing rules associated with the parent company account. This separation distinguishes company-wide account administration from administration of an individual person's access.

The customers list

The Customers destination provides a paginated list of company accounts. The list provides Search for customer and Search by Sync Key controls. Use Search for customer to find a company by name or Search by Sync Key to find it by its ERP identifier. Each row presents the customer name, sync key, location, email, phone number, and status. Select a customer row when you need to open its full customer record. You can select one or more rows and use Deactivate to deactivate those accounts or Delete to remove them.

Inside a customer record

A customer record has the tabs General Info, Sales Info, Customer Permissions, Customer Users, and Shipping Addresses.

  • General Info covers company details, the sync key, contact information, the assigned sales agent, the assigned currency, and the account state.

  • Sales Info covers financial values such as credit context associated with the account.

  • Customer Permissions covers permission settings visible at the company level.

  • Customer Users covers the individual storefront login accounts linked to the company.

Agent and currency assignment

Each customer record can have a sales agent and a currency assigned on the General Info tab. The Agent control identifies the sales representative responsible for the account. The Currency control determines which price list applies when the customer's users shop in the storefront. The two assignments influence how orders from the company are handled downstream in the ERP.

ERP sync origin

The ERP is the authoritative source for company records because customers originate there. The SYNC KEY column identifies the corresponding customer record in the ERP. When a customer no longer exists in the ERP, the Legacy Records setting in Shop configurations controls its fate in DigiTrade.
